The COCC Grants Office has the responsibility of coordinating all grant-writing efforts at the College to provide continuity and assurance that grant-writing is consistent with College priorities.  Priorities are determined by the Executive Committee and confirmed by the COCC Board of Directors. This site provides guidance for those interested in initiating a proposal for a specific program, project, or service.

Proposal Writing Rules

COCC StudentsThe rules for getting a grant request approved and off the ground at COCC are fairly simple:

  • Be sure the funding request is linked to the priorities and long-term strategies of the institution.
  • Be sure the funding request increases the capacity of the College to serve its students.
  • Be sure your identified needs and proposed solutions are linked to the above two items and to the community the College serves.

Discuss your proposal idea with your Department Chair and Instructional Dean to ensure you have appropriate support.

Things to consider:

arrow_red.jpgIs there enough time to respond to the grant deadline?

arrow_red.jpgIs there a matching component requiring leveraged resources or other funding?

arrow_red.jpgDoes the College and your Department have the capacity and staff to accomplish the project as proposed?

arrow_red.jpgAre the reporting requirements and tracking of outcomes within the Department’s capabilities? Quite often, quarterly progress and financial reports are required.

• Review the Decision-Making Matrix to help determine if this grant is worth pursuing.

• Contact the COCC College Relations (ext. 7599) if you need help identifying a possible funding source. This will likely be a government agency or a private foundation.

• Fill out a Grant Initiation Form that summarizes your plan, budget, and timeline, and email the form to the Grants Officer. The Grants Officer will circulate the form (via email) for College and Department approvals.

• Grants Officer will put the proposal on the Grants Calendar, once a funder is identified and deadline is established.

• Grants Officer will call a meeting with all parties who will provide content for the proposal. If the grant is a collaborative effort, contacts from other organizations will be identified.

• Tasks will be assigned and deadlines set. In most cases, the Grants officer will write boilerplate, coordinate writing activity, edit input, assemble sections and attachments, and help secure letters of support from the community businesses, workforce agencies, government officials, etc., as required.

• Develop a Project Budget using the sample Budget Form (or the form required by the funding agency), consulting with COCC Financial Office, as necessary.

• Develop a Narrative using the sample Narrative Outline (or the format dictated by the funding agency.

• Write a Cover Letter (ask Grants Officer for a sample, if needed).  

• Grants Officer will circulate a Review Copy for approvals and submit the grant when approved.
